Refund & Cancellation Policy
Inchanted Journeys (IJ) operates specialized, boutique, low-volume retreats and multi-day excursions. Because we secure upfront investments—including venue buyouts, private chefs, local guides, and gear rentals—long before departure, we utilize a strict tiered cancellation structure to protect these commitments.
1. Deposits & Initial Booking Window

Non-Refundable Deposit: A non-refundable deposit of $500 or 20% is required for international journeys or $100 for regional programs/retreats to secure your spot on any international journey.

48-Hour Grace Period: A 100% full cash refund (including the deposit) is only available if a cancellation request is submitted in writing within 48 hours of your initial booking time.

After 48 hours: The deposit is strictly non-refundable. Deposits can be carried forward as a deposit credit for one calendar year upon request if requested in writing:

90 days before respective start date of international journeys.

21 days before respective start date for a regional program or retreat.

2. Method and Timing of Cancellation Notice

Written Notice Required: To officially cancel a journey/program, the primary booking traveler must submit a written cancellation request directly to inchantedjourneys@gmail.com.

Unauthorized Channels: Verbal notifications, voicemail messages, text messages, social media direct messages, or emails sent to individual staff accounts will not be accepted as an official notice of cancellation.

Timestamp Verification: The official cancellation date and time used to calculate your refund tier will be determined solely by the timestamp of the email received at the designated address above.

Acknowledgment of Receipt: Inchanted Journeys will issue an email confirmation within 24 business hours of receiving your request. If you do not receive an acknowledgment within this timeframe, it is your responsibility to follow up to ensure your notice was successfully received.
3. Tiered Cancellation Schedule (International & Multi-Day Excursions)
Cancellation fees are calculated based on the number of days prior to the scheduled departure date (Day 1 begins at 12:01 AM on the first day of the journey in the respective time zone of the region/country the program is being hosted in).

120+ Days Before Departure: 100% refund of the remaining balance paid (excluding the non-refundable deposit). Remaining trip balances must be paid in full by 150 days prior to departure.

90 to 119 Days Before Departure: 50% refund of the total amount paid (excluding the non-refundable deposit).

Less than 90 Days Before Departure: 0% refund. Within 90 days, all local accommodations, transportation, flights, trains, and guides have been paid in full, and funds cannot be recouped.
4. Alternatives to Cancellation
To provide flexibility outside of our standard cash refund windows, Inchanted Journeys offers the following options:

Spot Transfers: You may transfer your booking to a friend, relative, or alternate guest up to 14 days before departure without an IJ change fee. Note: Your replacement is entirely responsible for any name-change fees or restrictions imposed by third-party vendors (e.g., airlines, train networks, or specific permits).

Waitlist Replacements: If an itinerary is completely sold out and has an active waitlist, IJ will attempt to fill your spot. If your vacant space is successfully purchased by another guest, we will issue a full refund, minus an administrative processing fee ($275 for international programs / $75 for regional trips).
5. Cancellations by Inchanted Journeys

Low Enrollment: If IJ must cancel an excursion due to low enrollment, you will receive a 100% full refund of all monies paid, including your initial deposit.

Force Majeure: If IJ is forced to cancel an itinerary due to a Force Majeure event (e.g., natural disasters, political unrest, pandemics, or government travel restrictions), our policy is to issue a future trip credit equal to 100% of your funds paid, rather than a cash refund.
6. Strongly Recommended: Third-Party Travel Insurance
Because we enforce strict cancellation windows, Inchanted Journeys highly recommends purchasing comprehensive third-party travel insurance. For maximum protection, select a policy that includes Cancel For Any Reason (CFAR) coverage. This ensures you can reclaim the majority of your non-refundable investments if unforeseen circumstances arise. We recommend comparing plans via these established providers:
